Kansas Party Games 2025 – Official Vendor Agreement
By purchasing a vendor booth at the 2025 Kansas Party Games, you (the “Vendor”) agree to comply with the following terms and conditions established by Virtual Effect Management, the event producer (“Event Organizer”).
1. EVENT DETAILS
Event Date: Saturday, October 25, 2025
Event Location: Century II Performing Arts & Convention Center, Wichita, KS
Public Hours: 11 AM – 9:00 PM
Vendor Load-In: Begins at 7:00 AM
Vendor Load-Out: Must be completed by 10:30 PM
2. BOOTH PACKAGES
Vendor space is offered in three tiers:
Standard Booth ($350): 10×10 space, table & 2 chairs
Double Booth ($500): 10×20 space, enhanced placement, pamphlet/logo inclusion
Premier Endcap Booth ($1,000): 10×20 corner placement, maximum exposure, added promotions
All booths include basic power access and vendor listing on the official map.
3. PAYMENT & CONFIRMATION
Booth reservations are confirmed only upon full payment.
All sales are final; no refunds will be issued for cancellations.
Payments are accepted through the official vendor form and payment gateway at kansaspartygames.com.
4. VENDOR RESPONSIBILITIES
Vendors must supply their own signage, promotional materials, and any additional equipment beyond what is listed in their package.
Booths must be fully staffed during all public event hours.
Vendor must not dismantle or vacate their booth before the official end time.
All vendors are responsible for keeping their area clean and free of debris.
5. PERMITS & COMPLIANCE
All food vendors must have valid permits from the Sedgwick County Health Department.
Vendors selling retail items are responsible for charging and reporting Kansas state sales tax.
Vendor shall comply with all local, state, and federal laws, including fire safety and event regulations.
6. LIABILITY & INSURANCE
Vendor assumes full responsibility for loss, theft, or damage to their property.
The Event Organizer, Century II, and the City of Wichita are not liable for any injury, damage, or loss incurred.
Vendors may be required to provide a Certificate of Insurance upon request.
7. PROHIBITED ITEMS & CONDUCT
No weapons, drug paraphernalia, illegal items, or materials deemed inappropriate by the Event Organizer may be sold or displayed.
Any vendor engaging in inappropriate, disruptive, or unsafe behavior may be removed without refund.
Alcohol sampling or sale is only permitted by pre-approved vendors with proper licensing.
8. CANCELLATION & FORCE MAJEURE
If the event is postponed or canceled due to weather, natural disaster, venue issues, or acts beyond control, the Event Organizer will make reasonable efforts to reschedule.
No refunds shall be issued in the case of force majeure cancellations.
9. MEDIA RELEASE
Vendor grants permission for any photos, videos, or recordings taken at the event to be used by the Event Organizer for promotional purposes, both online and in print.
10. AGREEMENT ACCEPTANCE
By submitting payment and signing up for a vendor booth, Vendor confirms acceptance of all terms above. A copy of these terms is available for download and reference at any time.
