Kansas Party Games 2025 – Official Sponsorship Agreement

By submitting payment or written confirmation of participation, you (the “Sponsor”) agree to the following terms and conditions as set forth by Virtual Effect Management (“Event Organizer”) for the 2025 Kansas Party Games event.

1. EVENT DETAILS

Event Name: Kansas Party Games 2025
Event Date: Saturday, October 25, 2025
Location: Century II Performing Arts & Convention Center, Wichita, KS
Expected Attendance: 1,500+ attendees
Event Hours: 11 AM – 9:00 PM (Vendor/Sponsor access from 7:00 AM)

2. SPONSORSHIP PACKAGES

Three sponsor levels are offered:

Bronze ($750): Website logo listing, 1 social media promo, 1 game zone banner
Silver ($900): Bronze benefits + printed pamphlet logo, stage shoutouts, premium placement
Gold ($1,500): All benefits above + vendor booth in premium area, feature in press releases, inclusion in event recap media

Custom packages may be arranged upon request.

3. PAYMENT & CONFIRMATION

Sponsorships are confirmed upon full payment and signed agreement or form submission.
All payments are non-refundable, unless the event is canceled without reschedule.
Accepted payment methods: credit/debit card, ACH transfer, or official sponsor form submission via kansaspartygames.com.

4. SPONSOR BENEFITS

The Event Organizer agrees to provide benefits as outlined in the selected sponsorship package.
Sponsor materials (logos, banners, ads) must be provided by stated deadlines. Late submissions may result in exclusion without refund.

5. BRAND USAGE & APPROVAL

Sponsors grant Kansas Party Games the right to use logos, branding, and company names in marketing and promotional materials.
Sponsor may not alter the Kansas Party Games logo or represent affiliation beyond agreed scope without written approval.

6. LIABILITY & REPRESENTATION

Sponsor assumes all liability for claims arising out of its promotional materials or on-site staff.
Event Organizer is not responsible for loss, damage, or theft of Sponsor property.

7. EXCLUSIVITY & CATEGORY RIGHTS

Sponsorship does not guarantee exclusivity unless explicitly stated in a written agreement.
Category exclusivity (e.g., only one beer sponsor) must be negotiated and confirmed in writing.

8. EVENT CANCELLATION & FORCE MAJEURE

In the event of cancellation due to natural disaster, venue issue, or force majeure, Event Organizer will attempt to reschedule.
If rescheduling is not possible, Sponsor will receive a credit toward a future Virtual Effect Management event but no monetary refund.

9. ON-SITE ACTIVATION RULES (if applicable)

Sponsors with booths or activations must comply with the same setup, teardown, and safety guidelines as vendors.
Activations must be approved by Event Organizer to ensure safety and brand alignment.

10. MEDIA RELEASE

Sponsor grants permission for Kansas Party Games to include their brand in photos, videos, and promotional content used before, during, and after the event.

11. AGREEMENT ACCEPTANCE

By submitting payment or signing a sponsorship form, Sponsor agrees to these Terms & Conditions in full. A digital copy will be available for your records and on the official event site.
